We’ve prepared some templates to support your 4th Office launch. Feel free to use as much or as little of what we’ve provided below to help support your communications. Naturally you’ll want to tailor them to suit your requirements.
 
Template 1 – Communicate your intent
 
This template is to announce to your pilot teams that you are assessing the 4th Office for your business:
 
“Dear All
 
I’m excited to announce that we are going to be trying an intuitive new piece of software called the 4th Office to help us (add your ‘reason for using the 4th Office).
 
Initially, the 4th Office will be used specifically to support us with
 
• (Add)
• (Your)
• (Activities) 
 
You can learn more about the 4th Office, what it is and how it works by visiting www.4thoffice.com
 
(sponsor name) is the sponsor for the use of the 4th Office and (champion name) is going to be responsible for helping us move our work to the platform and ensure we’re as productive as quickly as possible.
 
Initially (team or employee names) will be asked to use the 4th Office before it’s launched to a wider audience. People should soon receive an invite to register in our community and shortly after you’ll receive further information on when we plan to start using the 4th Office and what’s expected of you.

Template 2 – Launch the pilot
 
If possible, find the first email you send to the team, forward it and add this new message, so that everyone has the complete thread in one place. The 4th Office champion is the best person to send out this email.

Following my last email regarding our use of the 4th Office, I’m pleased to announce that will we will start using the 4th Office on (date) to support the following activities/projects/processes

• (Activities) 
 
You should have already had an invite from the 4th Office. If you have not yet received it first check your spam folder then contact me if you cannot find it and I will resend the invite.
 
On the start date you will receive (training / information / videos) to help get you started. (if supplying training) The training will take place (date/time/location).
 
After the training you will be asked to log into the 4th Office and start working. If you need any ongoing support please contact me, (other names) or visit the 4th Office help centre http://support.4thoffice.com to learn more.

Template 3 – Launch to wider audience
 
The 4th Office sponsor is the best person to send out this email.
